Matrix Functional Performance, LLC (“Matrix,” “we,” “us,” or “our”) respects your privacy and is committed to handling the personal information you share with us responsibly.
This Privacy Policy explains how Matrix collects, uses, discloses, stores, and protects personal information when you visit our website, submit a Private Client Application, communicate with Matrix, or otherwise interact with our services.
By using our website or voluntarily submitting information to Matrix, you acknowledge the practices described in this Privacy Policy.
01INFORMATION WE COLLECT
We may collect information that you voluntarily provide to us, including:
Contact and identifying information. This may include your name, email address, telephone number, city or town, and age range.
Performance and lifestyle information. This may include your objectives, current challenges, perceived health and performance status, activity level, training environment, schedule, travel frequency, support environment, and performance priorities.
Health-related information you choose to provide. This may include information regarding symptoms, injuries, physical limitations, health conditions, nutrition, sleep, recovery, previous approaches, or other considerations you believe may be relevant to evaluating whether Matrix is an appropriate fit for you.
Professional and coaching information. This may include whether you currently work with another professional and information you voluntarily provide regarding previous programs, coaching, training, nutrition, or other performance-related services.
Readiness and fit information. This may include your goals, expectations, readiness to engage, desired level of support, and other information provided through the Matrix Private Client Application or Discovery process.
We may also receive limited technical information associated with your use of the website, such as browser, device, network, or similar information generated through technologies and service providers necessary to operate the website.
02HOW WE USE YOUR INFORMATION
Matrix may use information we collect to review and evaluate Private Client Applications; determine whether there appears to be mutual fit; communicate with applicants; invite qualified applicants to a Private Discovery Call; understand an applicant’s objectives, circumstances, expectations, and readiness; respond to questions and requests; administer, secure, maintain, and improve our website, application process, and services; maintain appropriate business records; protect our systems; comply with applicable legal obligations; and establish and administer a client relationship if an applicant is accepted and chooses to engage Matrix.
Submission of a Private Client Application does not create a client relationship and does not guarantee acceptance into Matrix.
03PRIVATE CLIENT APPLICATION DATA
Information submitted through the Matrix Private Client Application is initially used for prospective-client evaluation and communication.
Application information is transmitted and processed using third-party service providers that support Matrix’s website, application processing, communications, data storage, and related business operations.
Prospective-client information is maintained separately from active-client records. If an applicant is accepted and chooses to establish a formal client relationship with Matrix, information necessary to administer that relationship may subsequently be transferred to or collected through Matrix’s client-management systems and other service providers.
This separation allows Matrix to distinguish prospective-client information from records associated with an active client relationship.
04SERVICE PROVIDERS
Matrix uses third-party service providers to support certain business functions, which may include website hosting and infrastructure; form processing and storage; email and communications; client management; scheduling; payment processing; performance-related technology; and related business and administrative infrastructure.
These providers may process personal information as necessary to provide services to Matrix or as otherwise permitted by applicable law and applicable agreements.
Matrix does not authorize service providers to use personal information for their own independent marketing merely because they process information on Matrix’s behalf.
05CLIENT INFORMATION
If you are accepted into Matrix and choose to establish a client relationship, information necessary to provide and administer Matrix services may subsequently be collected, maintained, or processed through Matrix’s client-management systems and other service providers.
Information maintained during an active client relationship may differ from information collected during the prospective-client application process.
Submitting a Private Client Application alone does not result in creation of an active client record or client relationship.
06HEALTH-RELATED INFORMATION AND NON-CLINICAL SERVICES
The Matrix Private Client Application allows applicants to voluntarily provide information concerning health, physical condition, nutrition, lifestyle, training, recovery, symptoms, injuries, and other personal circumstances.
Matrix Functional Performance provides non-clinical educational, functional nutrition, lifestyle, and performance coaching services.
Information submitted through the Matrix website or Private Client Application is not intended for emergency medical care and should not be used for that purpose.
Matrix does not use the website or Private Client Application to diagnose, treat, prevent, or cure disease or to provide medical care. Information provided through these channels is not a substitute for evaluation, diagnosis, treatment, or other care provided by an appropriately licensed healthcare professional.
07HOW WE SHARE INFORMATION
Matrix does not sell your personal information.
Matrix may disclose personal information to service providers acting on our behalf; when reasonably necessary to operate our website, application process, business, or services; when you request or authorize disclosure; to protect Matrix, its applicants, clients, property, systems, or legal rights; in connection with a business restructuring, financing, acquisition, sale, merger, or transfer, subject to appropriate protections; or when required or permitted by applicable law or legal process.
Matrix does not disclose applicant information to unrelated third parties for their independent direct-marketing purposes.
08DATA RETENTION
Matrix retains personal information for as long as reasonably necessary to fulfill the purposes for which it was collected, including application review, communications, business administration, recordkeeping, security, dispute resolution, and applicable legal or regulatory requirements.
Application information may therefore remain within Matrix’s business records and applicable service-provider systems for a reasonable period after an application has been reviewed. Third-party service providers may maintain information according to their applicable retention practices, backup procedures, contractual obligations, and legal requirements.
When information is no longer reasonably necessary, Matrix may delete, anonymize, or otherwise securely dispose of it, subject to applicable legal, operational, backup, or record-retention requirements.
09DATA SECURITY
Matrix uses reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.
Matrix also considers the nature of the information being processed and the role of third-party service providers supporting its operations.
However, no internet transmission, email system, electronic storage system, or security measure can be guaranteed to be completely secure. Matrix therefore cannot guarantee absolute security.
If Matrix becomes aware of a data-security incident involving personal information, Matrix will investigate the incident and take appropriate action, including providing notifications when required by applicable law.
10YOUR CHOICES AND PRIVACY REQUESTS
You may contact Matrix to request information regarding personal information we maintain about you; correct inaccurate information; update your information; ask us to consider deletion of personal information, where appropriate; or address questions or concerns regarding our privacy practices.
Certain information may need to be retained when reasonably necessary for legal obligations, legitimate business records, security, dispute resolution, or other permitted purposes. Matrix may take reasonable steps to verify the identity of a person making a privacy request before providing information or taking action.

11COOKIES AND WEBSITE TECHNOLOGIES
Matrix uses limited cookies, browser storage, and similar technologies necessary to operate website functionality.
For example, the Matrix website uses browser-based functionality to remember when a visitor has entered the website so that returning visitors can proceed directly to the Home page rather than repeatedly viewing the Entry experience.
Matrix does not currently use third-party behavioral advertising pixels or similar technologies to track visitors across websites for advertising purposes.
Matrix does not currently use third-party website analytics services for visitor-behavior tracking. If Matrix’s use of analytics, cookies, advertising technologies, or similar technologies materially changes, this Privacy Policy will be updated to accurately describe those practices.
12EMAIL COMMUNICATIONS
If you provide an email address through the Private Client Application or otherwise communicate with Matrix, Matrix may use that address to respond to you and communicate regarding your application, Discovery process, requested services, or client relationship.
Submitting a Private Client Application does not, by itself, constitute consent to receive unrelated promotional email marketing from Matrix.
If Matrix introduces marketing email communications in the future, those communications will be administered in accordance with applicable requirements.
13CHILDREN’S PRIVACY
The Matrix website and Private Client Application are intended for adults and are not directed to children under 13. Matrix does not knowingly solicit personal information through the Private Client Application from children under 13.
If Matrix learns that personal information from a child under 13 has been submitted without appropriate authorization, Matrix will take reasonable steps to delete the information.
14THIRD-PARTY WEBSITES AND SERVICES
The Matrix website may contain links to third-party websites or services. Matrix is not responsible for the privacy, security, content, or data-handling practices of third-party websites or services that Matrix does not control.
When you interact directly with a third-party website or service, that provider’s privacy practices may apply. We encourage users to review the applicable privacy information before providing personal information directly to a third-party service.
15CHANGES TO THIS PRIVACY POLICY
Matrix may update this Privacy Policy periodically to reflect changes in our services, technologies, business practices, or applicable legal requirements.
When changes are made, the Last Updated date at the top of this Privacy Policy will be revised.
If a change materially affects how Matrix collects, uses, or discloses personal information, Matrix may provide additional notice or obtain consent when appropriate or required by applicable law.
Matrix will not rely on a revised Privacy Policy to retroactively make materially different uses of previously collected information where additional notice or consent is required.
